The process

From request to road-ready, without the runaround

No shop appointments. No shuttling vehicles. No chasing four different vendors for one invoice. Here is exactly what happens when your fleet needs work.

1

Submit the job

Book in the portal, call 24/7 dispatch, or let a telematics fault code open the job automatically.

2

We match the tech

The nearest ASE Master Tech certified for that vehicle class and system is dispatched.

3

Tech comes to you

Yard, terminal, DC, job site or roadside — with a live ETA shared with your driver.

4

Digital sign-off

Photos, parts, labour and warranty logged per VIN. One consolidated monthly invoice.

Step 1 in detail

Three ways to open a job

Whichever route you use, the job lands in the same queue with the same SLA.

  • Automatically, from telematicsConnect Samsara, Geotab, Motive, Verizon Connect or Fleetio once. Fault codes and mileage thresholds open jobs with zero manual entry.
  • In the Fleet Command PortalPick the vehicle, pick the service, pick a window. Bulk-book an entire yard in a single action.
  • By phone, 24/7/365One number reaches a live dispatcher in every market, including nights, weekends and holidays.

How we choose the technician

Matching is not “whoever is closest.” It is closest and qualified and equipped for that exact job.

  • Certification matchT-series for heavy truck, A-series for light and medium duty — verified with ASE, not self-reported.
  • Equipment matchMobile lift, air-system tooling, OEM scan suite — we only dispatch a tech who is carrying what the job needs.
  • Performance matchRating, first-visit fix rate and on-time history for your specific vehicle class all feed the assignment.
Steps 3 & 4

On-site, then on the record

What happens between the tech arriving and your invoice being issued.

Live arrival tracking

Your dispatcher and driver both get a tracked ETA. No “sometime this afternoon.”

Inspection first

The tech documents the vehicle condition with photos before touching anything.

Approval before work

Anything outside the agreed scope is quoted and routed to your approver in the portal.

Repair on-site

Parts sourced at fleet cost. 82% of roadside jobs are closed without a tow.

Digital sign-off

Photos, torque specs, parts numbers and technician signature written to the VIN record.

One invoice

All work, all states, all locations — consolidated monthly and split by cost centre.

Onboarding

Live in about 15 minutes

No setup fee, and no contract for the first 90 days.

1

Load your fleet

Upload a CSV or VIN list — or connect telematics and we pull it automatically.

2

Set PM intervals

We map your existing PM schedule so nothing resets or gets double-booked.

3

Add your approvers

Set spending thresholds and who signs off at each location or cost centre.

4

Go live

Dispatch your first job the same day. Your account manager stays on it for 30 days.

Common questions

Before you book the first job

What do you need from us to start?
A vehicle list (VIN or CSV), your current PM intervals, your service locations, and the names of who approves spend. That is genuinely it — onboarding calls usually run about 15 minutes.
Can you work at our yard after hours?
Yes, and for most fleets that is the whole point. Overnight and weekend windows are standard, at no premium rate, because that is when your vehicles are actually parked.
What if the tech can’t fix it on-site?
You get a written diagnosis, a parts and labour quote, and a recommendation before any tow is arranged. Roughly 82% of roadside jobs and the large majority of yard jobs are closed on the first visit.
How does approval work for unexpected repairs?
You set a threshold during onboarding. Work below it is auto-approved so the tech keeps moving; anything above routes instantly to your named approver in the portal with photos and a quote attached.
Is there a warranty?
12 months / 12,000 miles on parts and labour, honoured by any technician in the network nationwide — not just the tech who did the original repair.

Start with one location. Scale when it proves out.

Most fleets pilot FleetSquad at a single yard or terminal, then roll it nationwide once the downtime numbers land.
